Provider terms for quote requests
Plain-English terms for providers who receive quote requests through the Signed Off firm portal. By signing in and responding to a request you agree to these terms.
Draft for legal review before the first provider uses it.
These terms are between Greenlight Surveyors Ltd (company no. 16067475), trading as Signed Off (“we”), and the business with a firm account (“you”). They are for businesses only. They sit alongside our featured listing terms, which apply only if you also buy a featured listing.
1. Your account
- We create a firm account for you only after we have checked that you own or run the listing. Sign-in is by a one-time link emailed to the address on the account.
- Keep that email address secure and up to date. You are responsible for what is done through your account.
- You must tell us promptly if an accreditation you hold lapses, is suspended or withdrawn. We may pause your account while we check.
2. How quote requests work
- A customer sends one request. We match it to up to three providers for each report they ask for, using the area it covers, the reports you offer, and the score described in section 6. A request is usually sent to other providers as well as you.
- We email you a summary: the reports, the project and the first part of the postcode. The customer’s name, email, full postcode, site address (if they gave one) and message are shown only when you click Respond in the portal.
- You have 48 hours from when we send the request to respond. After that it expires and cannot be answered.
- We do not promise any number of requests, or that a request leads to a job. The customer chooses who to hire, and you contact them directly.
3. Prices
| Request | Charge when you respond |
|---|---|
| EPCs (domestic, commercial and on-construction) | £5 |
| Building surveys, homebuyer surveys and structural engineer’s reports | £15 |
| A request matched to you for two or more reports | £15 |
| All other reports | £10 |
- The price is shown next to each request before you respond. You are charged only when you respond, never for a request you let expire or ignore.
- Your first 5 requests are free.
- We are not VAT registered, so no VAT is added. If that changes we will tell you first.
- These are launch prices. We may change them by giving you at least 30 days’ notice by email. The new price applies to requests sent after the notice period.
4. Prepaid credit
- You pay in advance by buying credit (£25, £50 or £100 at a time) through Stripe. We never see or keep your card details.
- When you respond, the price is taken from your credit straight away. If you do not have enough credit, you are not charged, the customer’s details stay hidden, and you can top up and respond while the request is still open.
- Credit does not expire. You can ask us to refund unused credit at any time by emailing [email protected]. We will refund it to the card you paid with, less any amount already used.
- If your account is closed because you broke these terms, we may keep credit equal to charges you owe and will refund the rest.
5. Refunds for a request
If a request you responded to turns out to be a duplicate, not a real enquiry, or outside the area or report it was matched for, email us within 7 days of responding with the details. If we agree, we put the price back on your credit. We will make a fair decision and our decision is final.
6. How we choose who gets a request
Where more than three providers qualify, we choose using a score built from how quickly you respond, how often you win the work, and customers’ ratings. During your first 5 requests you are scored at a neutral level so new providers are not shut out. Ties are broken at random. We may change how the score works to make it fairer or better for customers. Paid featured listings do not change who receives a request.
7. What you may do with a customer’s details
- Use them only to respond to that customer’s request, and to keep ordinary records of that work.
- Do not sell or pass them on, add them to a marketing list, or contact the customer about anything unrelated unless they have agreed.
- Follow data protection law, including UK GDPR and the rules on marketing calls and emails. Keep the details secure and delete them when you no longer need them.
- Be honest and prompt. Reply to customers quickly, tell us truthfully whether you won or lost the work, and do not mislead customers about your accreditation, prices or insurance.
8. Ending this
You can stop at any time by emailing us, and we will close your account and refund unused credit. We can pause or close your account straight away if you break these terms, give misleading information, or we receive repeated well-founded complaints about you, and we can stop offering the service on 30 days’ notice.
9. Our responsibility
We will take reasonable care running the service, but we do not guarantee that it will always be available or free of errors, or that any customer is genuine. Our total liability to you under these terms is limited to the amount you paid us in the 3 months before the claim. Nothing in these terms limits liability that cannot be limited by law.
10. General
We may update these terms by giving you 30 days’ notice by email. These terms are governed by the law of England and Wales. Questions? Email [email protected].
